This case study documents a large-scale collection management and conservation project undertaken on behalf of a private client — one of the most logistically complex commissions carried out to date. The project involved the pre- and post-transit condition assessment of approximately 1,500 artworks across multiple media, coordinated in conjunction with a third-party specialist art logistics provider. Every work was individually examined before movement, assessed again upon arrival, and cross-referenced against a restoration matrix to identify any treatment requirements arising from age, handling, or transit stress.
Project Scope & Collection Management Context
The commission originated as part of a broader collection management brief for a private client with a substantial holding of works spanning several centuries and media — including oil paintings on canvas and panel, works on paper, sculpture, decorative objects, and mixed-media pieces. The collection had been assembled over several decades and had not undergone a systematic condition survey prior to this engagement. The studio was appointed to oversee the full conservation and logistics workflow: from the initial inventory and pre-movement assessment through to post-transit examination, restoration triage, and the preparation of a comprehensive collection health report. The physical movement of the collection was entrusted to a third-party specialist art logistics firm, selected for their experience in handling works of this scale and sensitivity. The conservation team acted as the authority at both ends of the transit — ensuring that every work was documented, assessed, and cleared before departure, and re-examined with equal rigour upon arrival.
Pre-Transit Condition Assessment
Prior to movement, each of the approximately 1,500 works was individually examined and assigned a condition grade. The assessment protocol included visual examination under natural, raking, and UV light; photographic documentation of the recto and verso; notation of any existing damage, instability, or areas of concern; and the preparation of a condition report summary for each object. Works identified as structurally vulnerable — including those with active cleavage, flaking paint layers, fragile supports, or previous repairs in poor condition — were flagged for stabilisation treatment before transit. In a number of cases, emergency consolidation was carried out on-site to ensure the work could travel safely. Packing specifications were reviewed and, where necessary, revised in consultation with the logistics team to ensure that crating, padding, and orientation were appropriate to the condition and format of each individual work. The pre-transit phase was completed over several weeks, working systematically through the collection in a sequence agreed with the client and the logistics provider. A digital condition register was maintained throughout, cross-referenced against the existing inventory.
Post-Transit Assessment & Restoration Triage
Upon arrival, every work was unpacked and re-examined against its pre-transit condition record. The post-transit assessment followed the same protocol as the pre-transit examination, with particular attention paid to any changes in condition attributable to handling, vibration, or environmental fluctuation during transit. The vast majority of works arrived without incident, a testament to the quality of the packing and the care of the logistics team. In parallel with the transit assessment, each work was cross-referenced against a restoration matrix developed at the outset of the project. This matrix categorised works by age, medium, condition grade, and treatment priority, allowing the client to understand not only the immediate impact of transit but the broader conservation needs of the collection. Works were assigned to one of four categories: no treatment required; monitoring recommended; treatment advised within twelve months; or urgent treatment required. Works identified as requiring treatment — whether as a result of transit stress or pre-existing condition issues related to age and previous storage — were scheduled for conservation in order of priority. Treatments carried out included structural consolidation of lifting paint layers, cleaning and varnish removal on aged oil paintings, paper repair and deacidification for works on paper, and the stabilisation of fragile sculptural elements. All treatments were carried out in accordance with the ethical principles of minimal intervention and full reversibility, with each stage documented and recorded in the individual treatment files.
Outcome & Collection Health Report
At the conclusion of the project, a comprehensive collection health report was delivered to the client. The report documented the condition of every work at both the pre- and post-transit stages, summarised the treatments carried out, and set out a prioritised programme of ongoing conservation and preventive care for the collection as a whole. The project demonstrated the value of integrating conservation expertise directly into the logistics workflow — not as an afterthought, but as a core component of the planning and execution process. By treating the movement of the collection as a conservation event in its own right, we were able to identify and address vulnerabilities before they became damage, and to deliver the collection to its new location in the best possible condition.
